Alphoria BI ("we", "our", "us") is committed to protecting your privacy. This policy explains what information we collect, how we use it, and your rights regarding your data. By using Alphoria BI, you agree to the practices described in this policy.

1. Information We Collect

We collect information you provide directly when you create an account, connect data sources, or contact us. This includes your name, email address, phone number, country, and organization name.

When you connect e-commerce platforms (WooCommerce, Shopify) or analytics tools (Google Analytics), we access order data, product data, and traffic metrics on your behalf. We collect only what is necessary to provide the analytics service.

We also collect usage data such as pages visited, features used, and session duration to improve the platform.

2. How We Use Your Information

We use the information we collect to provide, maintain, and improve Alphoria BI. Specifically, we use your data to generate analytics dashboards, AI-powered insights, and automated reports about your connected stores.

We use your email address to send account notifications, daily store briefings (if enabled), and product updates. You can opt out of marketing emails at any time from your notification settings.

We do not sell your personal data or your store data to third parties under any circumstances.

3. Data We Access from Connected Stores

When you connect a WooCommerce or Shopify store, we access order IDs, order dates, order totals, product names, product IDs, order statuses, and geographic data (city/country level only).

We do not access or store customer full names, customer email addresses, customer phone numbers, full shipping addresses, or payment card details. We process only the aggregated and anonymized data required for analytics.

You can disconnect any data source at any time from the Data Sources page. Upon disconnection, we stop syncing new data immediately.

4. Data Storage and Security

Your data is stored on servers located in the European Union and United States. We use industry-standard encryption (AES-256) to protect stored credentials and sensitive data. All data in transit is protected using TLS 1.2 or higher.

We implement row-level security in our database, meaning each organization can only access their own data. We maintain audit logs of all data access events.

API keys for connected services are encrypted before storage and are never accessible in plaintext after initial setup.

5. Data Retention

We retain your account data for as long as your account is active. If you cancel your subscription, we retain your data for 30 days to allow for reactivation. After 30 days, your store data (orders, products, analytics) is permanently deleted.

You can request immediate deletion of your data at any time by contacting support@alphoriabi.com. We will process deletion requests within 7 business days.

Backup copies of deleted data may persist for up to 30 additional days in our backup systems before being permanently purged.

6. Your Rights (GDPR)

If you are located in the European Economic Area, you have the following rights regarding your personal data:

Right of access — you can request a copy of the personal data we hold about you. Right to rectification — you can correct inaccurate personal data through your account settings. Right to erasure — you can request deletion of your personal data. Right to data portability — you can request your data in a machine-readable format. Right to object — you can object to processing of your personal data for marketing purposes.

7. Cookies

We use strictly necessary cookies to keep you logged in and maintain your session. We do not use advertising cookies or third-party tracking cookies.

We use analytics cookies to understand how the platform is used. These cookies collect anonymized usage data and do not identify you personally. You can disable these in your browser settings without affecting platform functionality.

8. Third-Party Services

We use the following third-party services to operate Alphoria BI:

Anthropic Claude API — used to generate AI insights. Data sent to Claude is limited to aggregated store metrics and does not include personal customer information.

Paddle — used to process subscription payments. Payment card data is handled entirely by Paddle and is never stored on our servers.

SendGrid — used to deliver email notifications. Only your email address and notification content are shared.

Each third-party service has its own privacy policy and data processing terms.

9. Changes to This Policy

We may update this privacy policy from time to time. When we make significant changes, we will notify you by email and display a notice in the platform at least 14 days before the changes take effect.

The date of the most recent update is shown at the top of this page. Continued use of Alphoria BI after changes take effect constitutes acceptance of the updated policy.
